1. Who We Are

Vertex Services Inc. (“Vertex,” “we,” “us”) is a staffing and recruitment company based in Toronto, Ontario, Canada. This policy explains what personal information we collect through our website and our recruiting activities, how we use and protect it, and the choices you have. We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and, for electronic messages, Canada’s Anti-Spam Legislation (CASL).

2. Our Privacy Officer

Our Privacy Officer is Alex Prince, CEO. You can reach them at info@vertexservicesinc.com with questions, access or correction requests, or complaints about how we handle personal information.

3. Information We Collect

We collect only the information we need for the purposes described below. Depending on how you interact with us, this may include:

  • Candidates: name, contact details, work history, education, skills, references, your resume, and any other information you choose to give us.
  • Candidate account information: name, email, and login details, collected when you register for a candidate account.
  • Employers and clients: name, job title, company, contact details, and details of your hiring needs.
  • Website visitors: technical information such as IP address, browser type, device, pages viewed, and referring site, collected through cookies and similar technologies.
  • Messages you send us: anything you submit through our contact forms or by email.

If you email your resume to us instead of creating an account, we handle it in the same way as resumes submitted through the website.

4. How We Use Your Information

We use personal information to:

  • assess candidates’ suitability for roles and contact them about opportunities;
  • respond to employer inquiries and provide recruiting services;
  • operate, secure, and improve our website;
  • send email updates or marketing, only where you have given consent or CASL otherwise permits;
  • meet our legal and regulatory obligations.

5. Consent

We collect, use, and share personal information with your consent, whether express or, where appropriate, implied. You may withdraw consent at any time, subject to legal or contractual restrictions, by contacting our Privacy Officer. Withdrawing consent may limit our ability to provide some services, such as presenting you for roles.

6. Sharing of Candidate Information

We share a candidate’s resume or personal information with a prospective employer only with that candidate’s explicit consent for that employer or role. We do not sell personal information.

7. Service Providers

We use trusted third-party service providers to operate our website and business, including website hosting, email, and online forms. These providers process personal information only on our behalf and for the purposes described in this policy. We may also disclose personal information where required by law, such as in response to a valid court order or legal request.

8. Storage Outside Canada

Some of our service providers store or process information on servers outside Canada, including in the United States. Your information may be subject to the laws of those jurisdictions, including lawful access by courts and authorities there.

9. Cookies and Similar Technologies

This website uses cookies that are necessary for it to function, including cookies from WordPress, our forms, and our page builder. We use CookieYes to remember your cookie choices. We do not use Google Analytics, Meta Pixel, or Omnisend. You can manage your preferences through the CookieYes preference centre or your browser settings. Blocking some cookies may affect how the site works.

10. Email Communications (CASL)

We send commercial electronic messages only to people who have given consent or where the law permits. Every marketing email identifies us, includes our contact information, and contains a working unsubscribe link. We process unsubscribe requests within 10 business days.

11. Retention

We keep candidate information for 24 months after our last contact with you, then delete or anonymize it. Employer and client information is kept for as long as we have a business relationship with you and as needed afterward for legal, tax, or accounting purposes. Messages sent through our contact form are kept only as long as needed to respond and maintain our records.

12. Safeguards

We protect personal information with measures appropriate to its sensitivity, including access limited to staff who need it, password protection, and secure hosting. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

13. Your Rights

You have the right to:

  • ask what personal information we hold about you and how we use it;
  • ask us to correct information that is inaccurate or incomplete;
  • withdraw your consent or ask us to delete your information, subject to legal requirements;
  • make a complaint about our handling of your information.

Send requests to our Privacy Officer at info@vertexservicesinc.com. We will respond within 30 days. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.

14. Children

Our services are intended for adults. We do not knowingly collect personal information from anyone under 16.

15. Changes to This Policy

We will update this policy whenever we add a new tool or begin collecting new kinds of personal information, and will review it at least once a year. The “Last reviewed” date at the top shows when it was last checked.
